Here are our booking terms, conditions and cancellation policies to help you better prepare for your safari in Uganda.

Booking Terms

GENERAL
Off Road Uganda Safaris is based in Uganda to give you access to the best of wild Africa. Please read our booking terms and Conditions that spell out the respective obligations and inform the basis of your relationship with us as a client. In these terms and conditions, “you” means all persons named on the booking (including anyone who is added or substituted at a later date) and “we” and “us” means Off Road Uganda Safaris. These terms will be amended from time to time depending on the prevailing circumstances. The valid terms will be those prevailing at your booking time. Please note that it is the laws and regulations of the country providing services that apply to your holiday arrangements and not those of your home country.

A deposit payment of 20% of the safari fee and 100% payment for gorilla permits for those on a gorilla safari, books your tour. Bookings shall be made a year in advance up to 14 days before the date of departure and Off Road Uganda Safaris Ltd reserves the right to reject bookings  when accommodation and permits are booked out.
Payment: Full payment shall be made before any tour departure and if full payment is not made in due time, Off Road Safaris reserves the right to treat the booking as cancelled.

PAYMENT
A booking is confirmed when Off Road Uganda Safaris receives 20% of the invoiced tour price and sends a written confirmation to the clients to acknowledge payment receipt. The balance payment of 80% is due in 14 days before the tour commences and for those who are uncertain we accept cash payment on arrival on request.
If a booking is made within 14 days to the tour departure date 50% payment will be required to confirm it and the balance payment a day before departure.
Payments to Off Road Uganda Safaris shall be made in full before clients depart on any scheduled tour.
For all gorilla trekking tours payment for permits shall be 100% and immediate to secure scheduled dates.
Off Road Uganda Safaris Ltd reserves the right to reject bookings made less than 14 days to the day of departure.

ACCURACY OF INFORMATION
We provide descriptive information and opinions of national parks, animal sightings, accommodations, itineraries, chimpanzees, gorilla permits and security status in good faith based on the most recent information available to us. We endeavor to ensure accuracy in the information we provide but we cannot accept responsibility or liability for any errors or omissions caused by issues beyond our control.

CANCELLATIONS BY US
This does not happen often but in circumstances beyond us we reserve the right to cancel a confirmed booking. We shall not cancel a confirmed holiday less than 30 days before departure unless the circumstances are completely beyond our control and the consequences are unavoidable despite the attention and care given. If your holiday is cancelled (with the exception of failure to make payment) we shall offer you choices of alternative holidays of similar standard to purchase based on availability. We will refund the difference in amounts should the chosen alternative be less expensive than your original holiday. In case the alternative is more expensive you will be required to make an additional payment to cover the difference. Alternatively you are entitled to a full refund of all monies except gorilla and chimpanzee permits which cannot be guaranteed. Except where we cancel for reasons other than those mentioned in this clause, we shall have no further liability to the client.
Off Road Uganda Safaris reserves the right to terminate the holiday of any group member without prior notice if, in our opinion or according to the laws of Uganda a member’s misbehavior endangers, annoys or causes distress to other travelers and local people and threatens to damage property. In such a situation, the concerned person(s) will be required to leave immediately with no further responsibility to us. We shall not give refunds nor incur any costs as a result of the termination.

CANCELLATIONS BY YOU
All client cancellations shall be done in writing and are not effective until we receive a copy of your written notice and reply to acknowledge receipt. A cancellation percentage fee shall be charged depending on the time left before the start date of the tour.

CANCELLATIONS
Its strongly recommended that you take out an insurance cover for cancellations. Having accepted your booking, should it become necessary to cancel your reservation before departure date, we shall accept to reschedule it to agreeable future dates. The price of the tour will remain the same except if there is increase in prices on some items such as accommodation among others.

Cash payments on arrival, shall be accepted on request but, we are not able to guarantee the availability of activities and accommodations stated on the agreed itinerary under this arrangement.
No refunds will be made once the safari has commenced nor will any refund be available in respect of any tours, accommodation, hires, services or inclusions not utilized.

COMPLAINTS
Any complaints shall be reported promptly to our representative and to the supplier of the agreed service(s) who will do their best to resolve any concerns. In case your dissatisfied with the assistance rendered, please email and call our office in Kampala as soon as possible, to investigate and resolve any issue to your satisfaction. We shall not accept liability for any complaints that are not notified.

UNDER UNEXPECTED OR UNCONTROLLED EVENTS
Regrettably we will not accept liability in situations where the proper performance of our obligations are prevented or affected by events beyond our control or that of the supplier. Such events include war or threat of war, riots, civil strife, border closures, unexpected government acts, terrorist activity, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, road closures, pilferage, pandemics, quarantines, accidents at sea, land and air travel, and other similar acts or incidents beyond our ability to control.

We out source hotel accommodations, restaurant services medical evacuation services and other services from various independent suppliers that are not subject to our control. We cannot therefore be liable for any death, personal injury, property damage or other loss that may occur due to any act or omission of any such supplier, or by reason of any other event over which we have no control.
This is rare but we reserve the right to revise US$ Dollar prices without notice to reflect marked increases in foreign exchange or tariff rates before receiving the deposit from you. We also reserve the right to withdraw a tour or any part of it, to make such alterations in the itinerary as it deems necessary or desirable in situations that are beyond our control.

GORILLA & CHIMPANZEE PERMITS
Gorilla and chimpanzee permits will only be purchased after the client’s payment has been received.
This is rear  but local conditions may sometimes mean that access to the gorillas is made impossible at short notice.
We are unable to accept liability for any circumstance that might lead to the cancellation of gorilla viewing like: closure of the National Park or borders; absence of the gorillas and security changes. Gorilla and chimpanzee permits are non refundable. We shall endeavor to obtain a refund and if a refund is paid by the relevant authority, we shall pass it on to the client but do not guarantee any such refund whatsoever.

INSURANCE
It is advisable that before undertaking a holiday with us that you have, appropriate insurance for the type of holiday being taken. Such insurance should fully cover death, personal injury, medical expenses, repatriation in the event of an accident, illness or death and cancellation or curtailment of the holiday by loss or, damage to, or theft of client’s personal property. Activities with a greater inherent risk, such as mountaineering, animal tracking on foot, white-water rafting should be covered. Evacuation cover is provided by Off Road Safaris for clients undertaking a full safari package .
ACCIDENT OR LOSS – We do not own any liability for loss, damage, delay, inconvenience, or direct or consequential loss, however caused, unless due to our employees negligence, in which case our liability is limited (except for death or personal injury) to a maximum of the refund of the tour cost. We do not own or manage the train, ships, vehicles, accommodation and restaurants used and we have no liability for loss or damage caused by the proprietors or operators thereof.

HEALTH AND FITNESS
All passengers must warrant that they are reasonably fit and healthy to participate in the tours and holidays. Passengers requiring medical and physical assistance must be accompanied by a companion. Off Road Safaris Ltd and their drivers/guides or agents cannot provide this service.

VOLUNTARY EXECUTION
The client on advancement of a deposit to Off Road Uganda Safaris Ltd justifies that I have carefully read and fully understood the contents of the Terms and Conditions, especially those regarding cancellation and refund policies, limitation of liability, and responsibility borne by trip participants. On the advance of a deposit to Off Road Uganda Safaris Ltd the depositor, his or her family and heirs agree to be bound by the above booking terms and conditions.
